Understanding groupings
A grouping clusters inventory items together for a shared purpose. The same item can belong to several groupings at once. You’ll use groupings for things like:
- an exhibition or event catalogue
- a page on your Artlook website
- a private lightbox page you invite people to view
- a slideshow
- a consignment
- a price list or set of wall labels
One of the most useful things groupings do is build pages on your website — the Grouping type you choose determines whether, and where, a grouping can appear there. Types starting with Web_ (Web_exhibition, Web_gallery, Web_home, Web_page) map onto your website’s Exhibitions, Galleries and Home pages — see website settings. Other types (record, Sketchbooks, On line, Open Studio, Workshop) are for your own organising and cataloguing, and won’t appear on your website.
Listing pages
A Web_page grouping can also be set up as a Listing, by ticking its Listing page option — useful for a news page or a blog, where each news item or blog entry is its own sub-page. A listing works much like the Web_gallery type, in that other groupings point at it: create one Web_page grouping as the master and tick Listing page on it — its title then appears on your website menu — then create a Web_page grouping for each item that should appear on the listing (a news story or blog entry), also ticking Listing page on each one and pointing it at the master grouping you created first.
Open a grouping to edit it and you’ll find:
- Core data — title, subtitle, grouping type, a description, start/finish dates, a location, and further details. Link page lets you pick another grouping — wherever this grouping appears on an index-style page (Home, Galleries, Exhibitions), the link takes visitors to the linked grouping instead of this one’s own page. For a Web_page grouping, the checkbox next to Artist Indexed adds a categories submenu to that page, letting visitors filter to artworks in a particular category. At the bottom, Other options sets this grouping’s Sort priority and whether to hide prices, and Lightbox options has a Crop images square checkbox that applies only to this grouping’s lightbox.
- Items — the inventory items in the grouping. Drag and drop to reorder them; click a price or title to override it for this grouping only, without changing the underlying record. Remove an item with the trash icon.
- Images, Docs & videos — an image for the grouping itself, plus any documents or video (uploaded or linked from YouTube) you want to attach.
- On your website — tells you whether and how this grouping currently appears on your site, based on its grouping type, with shortcut buttons for common fixes — for example, switching on publishing if it isn’t showing yet.
You can create a grouping by choosing New from within the Groupings module, or build one directly from Inventory — see finding, filtering and managing records with the Query Pane for how.
